POSITION + Desire:
As an integral part of the operation of the firm, the Office Manager is responsible for the smooth running of the firm. The Office Manager is responsible for managing office operations daily and working directly with the Partners of the firm. The ideal candidate should be passionate and enthusiastic with a strong ability to take direction and follow through on tasks with minimal supervision. Efficiency and the ability to work with others is key to keeping the office profitable and stress free.
LEADERSHIP + Tasks:
The Office Manager serves as a member of the management team, attends and actively participates in management meetings, staff meetings, administrative meetings, and training sessions and seminars. The ideal candidate leads with organization and management.
Supports the partners and staff.
- Prepares invoices, payroll, checks, handles expenses, and supports approved budget.
- Develops and implements policies and procedures for the firm.
- Maintains a professional office setting and shows leadership in all tasks involved with this position.
- Schedules meetings and appointments.
- Assign duties to office personnel under Office Manager jurisdiction.
- Responsible for hiring, maintaining, and firing office personnel.
- Work with clients to ensure interaction, communication, and visibility on all projects.
- Ensure that all clients are invoiced monthly and vendors are paid on time.
- Assure that all staff provide timesheets weekly, obtain Principal approval, and prepare payroll as schedule.
- Work on Accounts Receivable and Accounts Payable in coordination with vendors and clients.
- Perform other related duties as required or assigned.
QUALIFICATIONS + Accruements:
Minimum requirements and preferred qualifications for the position of Office Manager.
Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
- Knowledge of Office Administrator responsibilities, systems, and procedures
- Hands on experience with office machines (e.g., printers/scanners up to 36”x24”, etc.)
- Proficiency with Office Suites and QuickBooks
- Experience with Abode Creative Suite
- Familiarity with social media tools for advertising/client communications
- Excellent time management skills with the ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills in English (required). Spanish language skills are a plus
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- 3 to 5 years of Office Manager experience; in design firm preferred
- Minimum high school diploma, preferred minimum 2-year college associate degree
